What personal data we collect and why we collect it

Comments are not allowed. But the entry process includes a description of your process, please don't include personally identifiable information here.

Contact forms

We process requests through email sent over TLS and custom designed web forms on the contest entry forms.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser and is just used for session data so we can display your contest entry information to you.

Embedded content from other websites

We do not embed any 3rd party content but we do link to 3rd party content and we are linked to from event websites. Content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website. You are encouraged to investigate the website who contracted with ScoreSum for their privacy policy information.

Analytics

Who we share your data with

We share your data for only contact purposes by the contracting event organizers and it is tied to that event. It is not used for any other purposes other than for the event to contact you but not limited by changes in venue or time and to contact you if you have earned an award at the event and they need to get information from you for tax purposes.

How long we retain your data

Becasue of our need to track winners awards for tax purposes we keep your data indefinitely. If you have not won any awards and are a citizen of the European Union we will comply with GDPR to randomize your personally identifiable information and remove any of your submitted links to galleries or videos and your profile picture. Google Analytics keeps your browser type, screen size amongst other generic computer client information, and location data for marketing purposes as to where intrest for our software is coming from, we will never attempt to generate a specific user profile from Google Analytics data. All users can request to see, edit, or delete their personal information at any time (except they cannot change their username because it is your email address). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account from an event we have managed, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, aforementioned tax, or security purposes.

Where we send your data

We use a third part emailing firm called SendGrid and their GDPR policy is here: https://sendgrid.com/resource/general-data-protection-regulation/. We forward your name and email address as part of a process in SendGrid relaying those messages to you over email so that the event contracting ScoreSum can contact you.

Your contact information

We require your phone number and email address for a valid entry. Email address are used as the login name and your phone number is only used if you need to be contacted by event organizers.

Additional information

How we protect your data

We use TLS encryption to protect all communications. Email addresses and phone numbers are encrypted in our database, passwords are stored as a one-way hash. All of that is behind a software firewall on our server.

Affected parties will be informed of any breech (by us or a third party processor) within 72 hours of notification
